What an n8n agency actually does

n8n is an open-source workflow automation tool. It watches for something happening, a form submitted, a message received, a row changed, then runs a sequence of steps across the apps you already pay for.

Hiring an n8n agency means someone else maps the process, builds the workflow, tests it against the messy real cases, and keeps it running when an API changes underneath it. We have been building business automation since 2020, mostly for small and mid-sized teams in the US, and n8n is the tool we orchestrate with because it self-hosts and because the client can read what it does.

Plenty of automation shops build inside their own accounts and rent the result back to you. We build inside yours. It is a worse business model for us and a safer one for you, because the day you decide to leave is a normal day for your operations.

• n8n runs in your own account, on your hosting or your n8n cloud plan.
• API keys and app connections sit under your logins, added by you or in front of you.
• Workflows are yours. Export any of them as a JSON file whenever you want.
• If we stop working together, nothing switches off and nothing needs handing back.
• We ask for access to what you already use. We do not ask you to move to our tools.

A dedicated virtual assistant comes with the build

Automation is good at the repeatable part of a process. The rest is a supplier who replied in a photo, a customer who asked something the workflow has no branch for, a duplicate that needs a judgement call. Software that pretends those cases do not exist is the reason people stop trusting their own systems.

So every engagement includes a virtual assistant assigned to your account. They watch the exception queue, clear it, keep the data clean enough for the workflows to stay accurate, and tell us which step to fix next because they are the one living in it. That is part of why we are not the cheapest quote you will get, and most of why the workflows still work in month six.

How we price an n8n build

Most agencies in this space publish nothing and make you sit through two calls to hear a number. We cannot put a single figure on this page honestly, because the same sentence from two owners can mean a two-day build or a six-week one. What we can do is tell you exactly how the number is put together before you talk to anyone.

What moves the number

• How many workflows, and how many steps each one really needs.
• How many systems have to be connected, and whether they have an API worth using.
• Whether n8n is already running for you or we set the instance up with you.
• How many virtual assistant hours a week the exceptions need.
• Whether your data has to be cleaned up before anything can be automated on top of it.

What is not on the invoice

• The scoping call is free, and you keep the process map from it either way.
• We do not mark up what n8n or your host charges you. You pay them directly, at their price.
• No per-seat or per-execution fee from us on top of the build.

You see the full figure itemised, in writing, before any work starts. If the scope turns out smaller on the call than it sounded in the email, we say so and quote the smaller thing.

When you should not hire an n8n agency

Four situations where paying us would be a waste of your money:

• You need one workflow and you have someone technical in-house. The n8n docs are good, and this is a weekend for them.
• The two tools you want joined already have a native integration that does the job. Use it.
• The volume is a few records a month. The hours saved will not cover a build fee.
• The process itself is broken. Automating it makes it fail faster and in more places. Fix the process, then come back.
